SFSURVEY OVERVIEW
-----------------
For many years, surveys have often played major roles in helping the
world of business determine strategies for success. Surveys have
helped companies determine marketing strategies, manufacturers set
production priorities, caused companies to reconstruct sales strate-
gies, and has even altered the course of political campaigns. Surveys
provide vital information for predicting the outcome of events, uncov-
ering areas for improvement, or showing the current status of a par-
ticular situation.
Have you ever considered using one of your SPITFIRE questionnaires for
conducting a survey of your users? As a SysOp, you know how important
it is that your users get enjoyment out of using your BBS. After all,
that is what keeps them coming back. The problem is, you may not
always know how well they enjoy your BBS, or what their likes and
dislikes are unless they voluntarily leave suggestions or comments
through feedback.
Users often have good ideas for improving a BBS, but unless you inten-
tionally ask them, they may not volunteer the information. If you
posted a questionnaires to do an opinion survey of your BBS, you could
gather the necessary information to help you determine what kind of
improvements you could make to your bulletin board.
This would help you collect the kind of information you are looking
for, but there is still one other problem. It would mean a lot of
extra work for you. As the SysOp, you would have to wade through your
SPITFIRE answer files and tally the information to get the end result
that you are really looking for. I wrote SFSURVEY to assist in this
effort.
SFSURVEY works in conjunction with your SPITFIRE questionnaires to
generate surveys for you. SFSURVEY will read the .QUE and .REP file
that you choose, collect & sort the information, and write the results
in an attractive report to an output file.
If you happen to be a hardware or software vendor, SFSURVEY can con-
duct product surveys quite well. You can even conduct surveys as a
hobby or as a service to your users. SFSURVEY works well on opinion
surveys, product surveys, consumer surveys, political surveys, or just
about any other reason you can come up with for conducting a survey.
SFSURVEY FEATURES
-----------------
When I first created SFSURVEY, it was a bare bone utility that did
just enough to get the job done and that was it. Since I have decided
to release it to ShareWare and make it available to other SysOps, I
have added some features to the program to make it as attractive and
maintenance free as possible. Some of those features are:
[*] SFSURVEY can run unattended (as an event for example). Running the
program as a weekly event will speed up program operation. The

more new data there is in the answer file, the longer it takes the
program to sort the data. Sorting time is approximately 2 seconds
per user per question.
[*] SFSURVEY is completely safe with your data files! When SFSURVEY
opens your .QUE and .REP files, it opens them for input only, and
does not do any writing to these files.
[*] SFSURVEY can be configured to require a minimum number of partici-
pants, or a deadline for the survey, or both. This prevents the
program from generating a survey before enough information is
collected.
[*] SFSURVEY will generate a SPITFIRE display file (.BBS/CLR) contain-
ing the outcome of your survey that you can use to display to your
users as a bulletin, welcome screen, etc. When conducting a survey
involving your users, they will surely be interested in the out-
come. This gives you the option to automatically generate a file
for them as soon as the survey is complete.
[*] SFSURVEY maintains its own error log to report any errors encoun-
tered during operation, and sends only important messages in the
HEYSYSOP.LOG file.
[*] SFSURVEY will allow up to 99 questions for a single survey.
SYSTEM REQUIREMENTS
-------------------
SFSURVEY 2.0 has been designed to run with SPITFIRE 3.3 BBS system.
The minimum system requirements for running SFSURVEY are:
- IBM XT, AT, or compatible
- 256K RAM (free)
- Hard Disk
- SPITFIRE 3.3 BBS Software
- FILES=20 (minimum) in your CONFIG.SYS file
I have not worked with any other types of BBS software, and I am not
familiar with file structures from other systems. So for now, SPITFIRE
is the only system I know of that SFSURVEY will work with.
SFSURVEY FILES
--------------
The files that make up the SFSURVEY system are listed below,
along with a description of their contents. Files marked with a
(*) are provided with SFSURVEY. All others are created by the
program during operation.
* SFSURVEY.EXE: This is the program or executable file.
* SFSURVEY.CFG: This is the configuration file for SFSURVEY and must
reside in the same directory as SFSURVEY.EXE.

* SFSURVEY.DOC: The documentation (this file).
* SFSURVEY.BAT: Batch file containing commands to run SFSURVEY as an
event.
SFSURVEY.ERR: This is an error log maintained by SFSURVEY in it's
home directory for reporting errors during program opera-
tion. Once the error has been corrected, this file can be
deleted as often as you choose.
* SFORDER_.QUE: This is a sample questionnaire file that is actually
provided to serve two purposes. 1) To give you some guide-
lines on what a survey questionnaire should look like and 2)
for you to rename and use to conduct your first survey and
test the program to see how well it works. You can modify
this file as you see fit.
SFORDER<x>.SRV or SFNEWU.SRV: This is the output file written by
SFSURVEY with your survey results in it. This file is writ-
ten to the SFSURVEY home directory and is created by SFSUR-
VEY.EXE. When this file is finally written, the survey is
complete.
SFORDER<x>.DTA or SFNEWU.DTA: This is a data file maintained by SFSUR-
VEY which is a sorted version of the original SPITFIRE
answer file. The main purpose of this file is to allow
SFSURVEY to perform it's sorting routines without altering
the original answer file. This file is written to the SFSUR-
VEY home directory and is not created until the first time
SFSURVEY.EXE is executed.
* ORDER.FRM: This is an order form to be used to register SFSURVEY or
purchase another TECH ONE software product.
* LICENSE.DOC: This is the license agreement that comes with your
registered version of SFSURVEY. If this file exists, print a
copy on your printer and keep it in a safe place.
INSTALLATION
------------
Installing & setting up SFSURVEY is quick and easy. Just follow the
steps below:
1. Create a separate directory for SFSURVEY to run.
2. Copy all the files into the directory you have chosen, and edit the
configuration file SFSURVEY.CFG to accommodate your situation. The
two files that must be present for SFSURVEY to run are SFSURVEY.EXE
and SFSURVEY.CFG
3. If you decide to run SFSURVEY as an event, modify your SF.BAT file
to include the changes. Then enable the event from within your
SPITFIRE system.

That's it! Now you're all set up. If you intend to set up SFSURVEY as
an event, I recommend using the SFBUSY maintenance utility from Buffa-
lo Creek Software. If you did not get this utility with your SPITFIRE
software, it can be downloaded from the Buffalo Creek BBS.
The changes in your SF.BAT file should look similar to the following
example (these lines can be found in SFSURVEY.BAT that came with the
system). The sample shown is for Event A, but you can modify the lines
to use any event you choose.

THE CONFIGURATION FILE
----------------------
The configuration file (SFSURVEY.CFG) is a plain ASCII file that
contains information critical to the operation of SFSURVEY. You can
use your favorite text editor to modify or create the file. The file
should look similar to the following example (see the sample .CFG file
that came with the program).

Now let's look at the configuration file in detail. The comments to
the right shown in the illustration above (;Line 1...;Line 2, etc)
should not be included in the SFSURVEY.CFG file. This was done for
labeling purposes only. Also, the configuration file must have all 9
lines or an error will result. Here is an explanation of the contents
of each line in the configuration file.
Line 1: This line should contain your registration number. This number
can be found at the top of the license agreement (LICENSE.DOC)
that came with SFSURVEY. Placing your registration number on
this line will eliminate the word UNREGISTERED from the top of
the survey file created by the program. If you have not regis-

tered SFSURVEY yet, you will not have a registration number,
but this line must still exist, so enter 0 or leave a blank
line.
Line 2: This line should contain the name of your BBS. This name is
what SFSURVEY will be registered to and what your registration
number will be based on, not the SysOps name.
Line 3: This line contains the full name of the SysOp.
Line 4: This line should contain the drive and path of the SPITFIRE
work directory (usually C:\SF\WORK\). Be sure this path is
correct because this is where SFSURVEY will search for
the .QUE, .REP and HEYSYSOP.LOG files.
Line 5: This line should contain the drive and path of the SPITFIRE
display directory (usually C:\SF\DISPLAY\). This path is where
the ASCII and ANSI display files will be created if they are
specified.
Line 6: This line should contain the name of the questionnaire file
being surveyed. It can be either the new user questionnaire,
or one of the main questionnaires.
Line 7: This line should contain the minimum number of participants
you wish to generate a survey for (min. 0, max. 32767). SFSUR-
VEY will not produce a survey file until at least the minimum
number of participants have answered the questionnaire. If you
do not wish to specify a minimum number of participants for
the survey, enter a 0. If you enter a number less than 0,
SFSURVEY will assume 0. If you enter a number larger than
32767, an error will result, SFSURVEY will report the error in
the SFSURVEY.ERR file, and terminate operation. This option is
used in conjunction with the DATE option below to determine
when to generate a survey file.
Line 8: This line should contain the earliest date that you want the
survey file generated. This option is used in conjunction with
the minimum participants option to determine when to generate
the survey file. SFSURVEY will not generate a survey file
until the last date it was executed is at or beyond this date
AND the minimum number of participants have been met. Both
conditions must exist before the survey file is generated.
This way, you can impose a deadline for the questionnaire to
be completed and still create a condition for minimum number
of participants. Once the survey file is generated, the survey
is considered over. If you do not wish to specify a date,
enter NONE on this line. The date must be in the format of
MM-DD-YYYY to be recognized as valid.
Line 9: This line should contain the name of the ASCII & ANSI display
file, if one is desired. This file could be used to display
your survey results to your users. If you specify a display
file, they will be created immediately after the survey file
is generated. If you do not wish a display file, enter NONE on
this line.

HOW IT WORKS
------------
If you are running SFSURVEY as an event, SPITFIRE will execute the
program automatically. Otherwise, SFSURVEY can be invoked manually
from the DOS prompt. You should always run SFSURVEY from it's own
directory. It is advised NOT to run the program through a DOS PATH
from a directory other than it's own. SFSURVEY creates & deletes
temporary files that it uses when it is performing sort routines.
These files are created and deleted in the directory you are in when
you invoke SFSURVEY, and running SFSURVEY from it's own directory will
insure safety.
Once a survey file has been generated, the survey is considered over
and SFSURVEY will not do any more work on that questionnaire. At this
point, you can print the survey file on your printer. You can then
start a new survey in the same directory by deleting all the files in
that directory except SFSURVEY.EXE and SFSURVEY.CFG. Don't forget to
modify the configuration file to conform to the new survey.
If you discover that the outcome of the survey does not contain enough
information to suit your needs, you can delete the survey (.SRV) file
and modify the configuration file to prolong the survey. The next time
SFSURVEY runs, it will continue the survey as if it had never ended.
I know that there is not a gigantic demand for this type of utility
and the applications are somewhat limited, but if you DO decide some
day to conduct an opinion survey, product survey, consumer survey or
something of that nature, you absolutely will NOT want to be without
this utility.
QUESTIONNAIRE FORMAT
--------------------
In order for SFSURVEY to work properly with a SPITFIRE questionnaire
and produce accurate results, you must follow a few simple rules.
Sticking to these rules should not conflict with the normal operation
of your BBS in any way.
1. The questionnaire being used for the survey requires a specific
format. All questions in the survey questionnaire must be numbered
with the following syntax...

The question should be numbered with the question number enclosed in
square brackets "[]", and preceded by a number symbol "#". This ques-
tion number should be on a line by itself. This is how SFSURVEY deter-
mines where a question in the questionnaire file begins. The last line
of the question must be the line that contains the symbol that tells
SPITFIRE to prompt for an answer, and must be one of the following 4
symbols (see your SPITFIRE manual).

These are the only questions SFSURVEY will check for. This is how
SFSURVEY determines the end of a question. The text between the ques-
tion number and the symbol will eventually be written to the survey
file. The output in the survey file for the above example might look
like this:

You can place any kind of text between questions that is allowed in
any other SPITFIRE questionnaire, but all questions in the survey
questionnaire must begin with a question number and end with a SPIT-
FIRE questionnaire symbol. If SFSURVEY encounters one of the above 4
questionnaire symbols without first finding a question number, the
question will be ignored and will not be included in the survey. If
SFSURVEY encounters a question number without ever finding a SPITFIRE
questionnaire symbol, an 'Input past end of file' will be written to
the SFSURVEY.ERR log.
2. Do not use Yes/No questions to branch to different parts of the
questionnaire. This will cause the answers in the answer file to be
out of order and they won't match up to the proper question. All
Yes/No questions should be followed IMMEDIATELY by two plus signs (+)
and two minus signs (-) like the example in #1 (see your SPITFIRE
manual). If your questionnaire contains any branching, the survey will
be inaccurate and may cause an error to be written to the SFSURVEY.ERR
log.
3. Do not modify the questionnaire once the survey is in progress
(e.g. rearrange, change, add, or delete questions). This may also
cause the answers to be aligned with the wrong question. If you modify
the questionnaire once the survey starts, the program may still work
but the survey will be inaccurate and it could cause an error to be
written to the SFSURVEY.ERR log, and the results in your output file
will be inaccurate.
4. The questionnaire file is limited to 99 questions. Any and all
questions beyond 99 will be ignored and will not be included in the
survey.

OPERATING GUIDELINES
--------------------
With all the options that SPITFIRE allows regarding questionnaires, it
was difficult to accommodate all the situations that a practical
survey would entail. Although I have not thoroughly tested SFSURVEY
before releasing it as ShareWare, I think I covered most situations
that would be considered practical. Therefore, if you run into any
problems using SFSURVEY or wish to offer suggestions for improvement
or enhancement, please contact TECH ONE.
I have also discovered (through testing and trial & error) that there
are certain guidelines I should follow to get the best and most accu-
rate results from the output of this program.
1. Create a separate directory to install and run SFSURVEY instead of
running it from your SPITFIRE system directory. SFSURVEY will use
it's home directory to write the output files to. It also creates
and deletes temporary files that it works with during the calcula-
tion processes. This will keep the program from cluttering your
SPITFIRE system directory. I would recommend something like
C:\SURVEY\ or C:\SF\SURVEY\
2. For an accurate survey, I recommend that you set up the survey
questionnaire so that it can only be answered once by each user
(see your SPITFIRE manual). Otherwise, your survey could have the
same participant more than once and cause the final survey to have
inaccurate results.
3. The program works best with Yes/No questions, but it will total
other types of questions as well. Unless it is critical to your
survey, try to stay away from questions that prompt for phone
numbers or dates, because 99% of your users will each have a dif-
ferent answer for this type of question.
4. SFSURVEY was designed to work with only one questionnaire at a
time. However, if you wish to conduct a survey on two or more ques-
tionnaires at the same time, you can simply install SFSURVEY into
different directories. For example, if you wish to conduct a survey
on both SFORDERA.QUE and SFORDERD.QUE at the same time, just create
two different directories to copy SFSURVEY to (e.g. C:\SF\SURVEY1\
and C:\SF\SURVEY2\). You can copy SFSURVEY into as many different
directories as you like and then specify a different questionnaire
in each configuration file.
SHAREWARE NOTICE
----------------
The evaluation copy of this program has been released to the public
as shareware. Under the Shareware concept, you are allowed and encour-
aged to freely copy, distribute, and/or share the program with others,
as long as the entire package remains in it's original unmodified
state.
The only difference between Shareware and the commercial software you

buy off the shelf is that the cost of things like advertising, market-
ing, packaging, etc. have been eliminated from the Shareware. This
allows the author to offer the software to the user for usually a much
lower price than the comparable package off the shelf.
Unlike public domain, Shareware is copyrighted, and the free distribu-
tion allows you to "Try Before You Buy". However, free distribution
does NOT mean that a program can be used regularly without payment.
If you try it, like it, and decide to use the software regularly, you
should register your copy with the author.
Why Register?
One good reason to register is that you normally receive benefits that
do not come with the unregistered copy. Depending on the author, you
may receive the latest version of the software, printed manual, up-
dates, user support, etc.
But the most important reason of all is that since shareware is copy-
righted software, your use is subject to the limitations and restric-
tions of the copyright laws. Normally, authors will modify their
copyright protection for your use of the software.

REGISTRATION
------------
In order to get the benefits of a registered user, you must complete
the order form in this manual and return it to us. Upon receiving your
order, we will assign you a registration number. Please refer to this
number with any correspondence to TECH ONE regarding this program.
Before getting into the details of registration, there is something
you need to know about us.
Our Policy
Our policy at TECH ONE is to provide TRUE shareware. We believe in the
policy behind the shareware concept. We also believe that most people
that use these products are basically honest, and will be glad to pay

Appendix A
SFSURVEY Errors
SFSURVEY was written with a built in error reporting system to report
any errors that might occur. Here is a partial list of the errors that
SFSURVEY will report on, along with the probable cause and possible
solution. When errors are encountered they will be written to the
SFSURVEY.ERR file. If SFSURVEY reports any other errors, or if you
encounter an error you cannot remedy, or discover a bug in the pro-
gram, please contact TECH ONE.
Error: {filename} not a SPITFIRE questionnaire
Cause: The questionnaire specified in the SFSURVEY.CFG file is not a
SPITFIRE questionnaire (does not end with .QUE).
Solution: The questionnaire file you specify must be a .QUE file. Edit
the configuration file and correct the error.
Error: {filename} not a SPITFIRE answer file
Cause: The answer file specified in the SFSURVEY.CFG is not a SPITFIRE
answer file (does not end with .REP)
Solution: This file must be a .REP file. Edit the configuration file
and correct the error.
Error: Too many participants in SFSURVEY.CFG
Cause: This occurs when the minimum number of participants in the
SFSURVEY.CFG file is too large (over 32767).
Solution: Check the configuration file and make the necessary adjust-
ment.
Error: {filename} not found
Cause: You have either specified a path or a filename in the
SFSURVEY.CFG file that could not be found or does not exist or
the SFSURVEY.CFG file could not be found. This can also be
caused simply by no answer file being available yet.
Solution: Check the configuration file to make sure all path names and
file names are spelled correctly. Also be sure that
SFSURVEY.CFG is in the same directory as SFSURVEY.EXE.
Error: Bad file name or number on {filename}
Cause: Either one of the file names specified in the SFSURVEY.CFG file
contains an invalid character, or there is a bug in the pro-
gram.

Solution: Check the spelling of your path names and file names in the
configuration file and correct any errors. All path names and
file names in the SFSURVEY.CFG must conform to standard DOS
format.
Error: Too many open files
Cause: The limit of the number of open files your system will allow
has been exceeded.
Solution: Check your CONFIG.SYS file to be sure your FILES command
specifies at least 20 files. If the error continues, increase
this to something more than 20.
Error: Path/file access error
Cause: One of the path names or file names specified in the
SFSURVEY.CFG file could not be accessed.
Solution: Check your configuration file and make sure all path names
and file names are spelled correctly.
Error: Path not found
Cause: One of the path names specified in the SFSURVEY.CFG file could
not be found.
Solution: Check the spelling of the path names in the configuration
file and correct any errors.

SFSURVEY messages
Here is a list of messages that could be written to the HEYSYSOP.LOG
file during the course of program operation. Variables in the message
syntax are defined below.
{quefile} - The questionnaire file being surveyed.
{ansfile} - The corresponding answer file.
{surveyfile} - The survey file
{asciifile} - The ASCII display file
{ansifile} - The ANSI display file
{monthfile} - The files containing data preserved during purge.
Error log SFSURVEY.ERR updated!! Please check this file!!
SFSURVEY sends this message whenever it reports an error in the
error log, prompting you to check the file and correct the error.
Survey on {quefile} complete on MM-DD-YYYY at HH:MM:SS!
{asciifile} display file created!
{ansifile} display file created!
This message is written upon the completion of the survey, indi-
cating to you that the survey is over. If any display files are
specified, they will be reported also.
Not enough participants to create survey for {quefile}.
[xxx] participants out of [yyy] minimum.
This message is written only when the configured deadline has
been met or exceeded, and the minimum number of participants has
not been met. [xxx] will reflect the current number of partici-
pants, and [yyy] will reflect the minimum set in your configura-
tion. This lets you know that your survey deadline has been met,
but you are still waiting on enough users to participate.
Too soon to create survey for {quefile}
Deadline is MM-DD-YYYY.
This message is written only when the requirement for minimum
number of participants has been met, and the deadline in the DATE
option has not been satisfied. MM-DD-YYYY will reflect the dead-
line you have specified in your configuration file. This lets you
know that you have enough participants to generate the survey,

version 2.0 - 03/20/93
1. SFSURVEY was modified to read the new format of the
SPITFIRE .REP file instead of the previous .ANS format.
2. The configuration file SFSURVEY.CFG now only requires the name
of the display file without the extension. The program automati-
cally adds the .BBS & .CLR extensions and generates both display
files.
3. The configuration file SFSURVEY.CFG now only requires the name
of the questionnaire file without the extension. The program
automatically adds the .QUE & .REP extensions when working with
these files.
